Vendor



A Vendor is a business partner from whom a business purchases products. A Vendor can be a company or an individual. 
In the application, Vendor is required while creating a purchase order and in a few other transactions. A Vendor can be created by a back-office user. However, before creating a Vendor, the user must create a Vendor Group.

Prerequisites

Vendor Group is the only prerequisite to define a vendor master. It also helps to categorize the Vendor data into appropriate categories. 

Create A Vendor

Go to Home > Vendor > Vendor. This will bring up the “Vendor List View” screen. All the existing Vendors will be listed here on this screen.

Click the Add Vendor button on the top right corner.
It will open the Create Vendor screen.

Fill in the required information including the mandatory fields such as Vendor Name, etc from the available valid values to create a new vendor. The mandatory fields are marked with an (*) asterisk mark. The various fields in the “Create Vendor” card are explained below:

Vendor Name:
Specify the name of the vendor

Vendor Code:
Specify a combination of alphabets and numbers to uniquely identify the Vendor.

Vendor Group:
Specify the vendor group to which the vendor belongs. Vendor Groups help in logical grouping of vendors for better reporting and analysis.

Is Active:
This switch determines if the vendor is active or not. Vendors who are not active cannot be transacted on the application console.

Email:
Defines the Email-Id for the vendor.

Web Page:
Specify the website of the vendor.

Tax Number:
Specify the statutory Tax Number of the vendor. This may be required at the time of filing the taxes.
  
Tax Code: 
Provide a Tax Code for the Vendor if available. 

Once the required fields are filled in, you may click on the save button to save details for the vendor.

Address: 
Specify the vendor’s address

City:
City where the vendor is located

Zip Code:
The Zip Code of the City

Country:
Country of the City
 
State:
State in the country where the vendor is located.

It is advisable to create all Vendor Groups before creating Vendors to avoid any validation errors.

Edit A Vendor

Click on the Edit symbol to bring up the “Update Vendor” page, wherein you can update vendor code | vendor name | vendor group | email | vendor web page | tax number | tax code etc. 

Delete A Vendor

Click on the Delete symbol to delete a vendor record from the master data. You should see a confirmation dialog box asking you to confirm the deletion. Click “Yes” to confirm deletion. Click “Cancel” to return to the “Vendor List View” screen.

Import Vendor Information

Tagrain application allows you to “Import” a vendor record. 
Click on the Import symbol to import Vendor data. Navigate to the location where you have saved the vendor.xls file. Select the vendor.xls file and click OK to start the import. The application will indicate in the bottom right corner of the screen when the data upload starts. Upon completion, a notification pop up would appear in the notification center to notify if the import was successful.  

Export Vendor Information

Tagrain application allows you to “Export” a vendor record. 
Click on the Export symbol to download the vendor.xls file. The file by default will get downloaded to your “Downloads” folder. In case you want to save the file to a different location on your drive, you may click the “Save As” button and then navigate to your desired location on the drive and save the vendor.xls file.
