Using Gift Cards as a Store Credit

You may be required to execute a Refund transaction, in a scenario wherein a customer is willing to return a good already purchased earlier. In case of a refund, the total amount of the goods returned is refunded. This amount can be returned in cash or be credited to the customer’s credit card, depending upon the type of sale transaction that occurred earlier at the Point of Sale.


But with the “Gift Cards and Credit Memos” plugin activated, you can issue a Store Credits of value equivalent to the amount returned.


A picture containing clipart Description automatically generated Note: For walk-in customers who are not registered, the refund can be processed either in Cash or Credit Card or Gift Card. For registered customers, additional options like Loyalty, Store Credit and On-Account are enabled.


In this section we have presumed that the customer walks in the store with a sale receipt and is asking for a full refund. 


Step 1. Log in to the Web Register and click on the “Recent Sales” Tile to bring up the Recent Sales window.


Step 2. On the “Recent Sales” window, using appropriate search filters bring up the sale transaction that you wish to process the refund for. 


A picture containing clipart Description automatically generated Note: Tagrain lets you use search filters like Transaction Id, Date Range, Include All POS, and Show Suspend Only to further narrow down your search.


Step 3. You may either click on the arrow () sign to expand the transaction and select individual products one by one or click on the […] against the transaction (collapsed) and click Refund.

Step 4. The product(s) marked for refund are listed with a negative (–) sign on the Transaction screen. Click the Pay button to proceed to the Payment screen.

Step 5. On the Payment Screen you can process the refund for the customer.

Step 6. Here, we are going to refund the amount by issuing Store Credits (Gift Card) of value equivalent to the refund amount.

Step 7. Once the refund is processed, it will start to reflect as a “Refund” transaction under the “Recent Sales” transaction screen.

Also, if you click on the “Payment(s)” tab, it will display the mode in which the refund has been processed.

Note: The mode in which the refund has been processed is also printed on the transaction sale receipt.

“Glenn Berray” has been issued a Gift Card of value equivalent to the refund amount which is SGD96. He can walk in the store anytime and redeem his Gift Card.
