Kitchen Display System - Table Order

Introduction

The Kitchen Display System plugin when subscribed to and activated allows you to setup and use the Kitchen Display System with Tagrain. This integration helps you to notify the cooking staff as to what needs to be prepared and in what quantity. This way the cooking staff is able to glance through the entire table order along with any special requests made with the order and accordingly distribute the task among themselves. This not only avoids confusion and reduces the chances of any error in preparing the order but also ensures that all dishes in an order are ready on time. This also improves kitchen efficiency by reducing food wastage. 

Prerequisites

You must subscribe to and activate the Kitchen Display plugin to be able to set up and use the Kitchen Display System with Tagrain.

Note - If your cafe / restaurant allows customers to use their mobile phones to scan a QR code kept at their table(s) to place an order, you must subscribe to and activate the Scan and Order plugin

About Table Orders

There are two types of Table Orders - Dine In and Takeaway

Dine In Orders

You walk into a restaurant or cafe, occupy a vacant table, and place the order with the server using the Menu card kept on the table. Alternatively, you can scan the QR Code placed on your table using your phone’s camera or any other QR scanning App to reach the mobile responsive landing page on your phone browser and select the food items to be delivered at your table. 

Takeaway Orders

You place an order online either by visiting the cafe / restaurant website or by calling the cafe / restaurant directly and requesting the food to be delivered at your doorstep. 

For the purpose of this article we will focus only on Din In Table Orders

Dine In Table Orders As Displayed on the Kitchen Display System

We have placed 2 table orders - Dine In-01 and Dine In-02. 

Dine In-01 is a regular order placed to the server whereas Dine In-02 is a Scan and Pay order. The way these orders are reflected on the Table View screen upon fulfillment is quite different. 

Irrespective of what type of table order you place, if  you switch to the Table View, you will see the status for both these orders is marked as In Kitchen. This is because the order is confirmed and the food is being prepared in the kitchen.


The same orders when viewed on the Kitchen Display System look like what is shown in the image below:


The food preparation time is by default set to 20 minutes. This means that when the order is confirmed and is moved to the kitchen for preparation the 20 minute countdown begins. See: Kitchen Display Plugin Configuration and Setup


When this food preparation time is reduced to 5 minutes, the tile color changes from Green to Yellow, indicating that the time to deliver the order is approaching near.  

Note: Even if the Order Tile turns yellow on the Kitchen Display System, there will be no change reflecting on the Order Tiles displayed on the Table View screen. 


The image below shows that the Dine In-02 order is also approaching its delivery time. 


Let’s assume that the Dine In -01 order is complete and is ready to be served. 
Tap on the Mark as Complete button to complete the order. When you mark the order as complete, the Dine In -01 tile disappears from the Kitchen Display System.

On the Table View screen the Dine In-01 Table is now marked Vacant


In the meantime, the Dine In-02 tile turned red, indicating that the time to deliver the order has lapsed and the order is delayed.  


Let’s see what happens when this order is complete and is ready to be delivered. 

When the order is ready to be served, tap on the Mark as Complete button to complete the order. When you mark the order as complete, the Dine In-02 tile disappears from the Kitchen Display System.

On the Table View screen the Dine In-02 Table is now marked Delivered instead of Vacant. This is because in case of a Scan and Pay order when the order is fulfilled the transaction is suspended and appears under Recent Sales until it is billed. 


Conclusion

A Dine In Regular order and a Dine In Scan and Pay Order are treated differently upon fulfillment. When a Regular Dine In order is fulfilled the Table status is marked as Vacant. When a Dine In Scan and Pay Order is fulfilled the Table status is marked as Delivered. 

To bill a table, the cashier needs to navigate to the Recent Sales screen. Select the Table Order (Suspended transaction) that has been fulfilled, in this case Dine In-02 Table Order. Tap on the [...] under the Action column and select “Bill Table - #” from the drop down. # here denotes the corresponding Table Order. Select a Payment Mode on the Payment screen to process the payment.
