Overview

The QuickBooks Online and Tagrain integration Plugin enable you to easily post your sales, refunds, payments, and store cash movement transactions like Petty cash expenses from Tagrain to QuickBooks - making it quick and easy for you to keep on top of your accounting and reducing the need for double-data-entry!

Sales and Refund

On closing the register, consolidated transactions (i.e., Sales/Refund, etc.) per product groups are synchronized to QuickBooks Online

Store Cash movement

Petty cash expenses from Tagrain automatically sync to QuickBooks Online on register closure.

QuickBooks Online Integration Setup

Go to Tagrain > Plugins. Click the Activate button on the Tagrain QuickBooks Online Integration plugin tile. This will select the plugin for activation.

Go to the Setup > General Settings. Click the QuickBooks Integration button

User will be redirected to the QuickBooks Online Integration Setting screen

Click the Connect button, it will open the QuickBooks Online Account Login page to allow access to Tagrain. 

Provide the QuickBooks Online account credentials and then click on the Sign-in button.

Then click the “Connect” button to connect to QuickBooks Online.

Once the QuickBooks Online credentials are verified, the system will direct you to the General Settings screen for further configuration.

Click on the QuickBooks Integration button

Prerequisites

Tagrain’s Product Groups name and item name in QuickBooks Online must be the same for transaction Integration.

Tagrain Tax Code name and Tax Code name in QuickBooks Online must be the same for transaction Integration.

Item with the name Surcharge Item must exist in QuickBooks Online for transaction Integration.

Tax code with the name Exempt (with a rate 0 %) must exist in QuickBooks Online for Surcharge and Gift card transaction Integration.

Chart of Account with the name Undeposited Funds must exist in QuickBooks Online for Refund transaction integration

Payment Type Account Mapping

In this section, the user must map the payment types on Tagrain to different payment methods defined in QuickBooks Online. 

Gift Card Settings

If you are using the Gift Card. Follow the below instructions to create two Service type items in QuickBooks Online

• Name: Gift Card - Sale and Gift Card - Redeemed

• SKU: Leave it blank

• Category: Leave it blank

• Sales information: Mark this checkbox as checked

• Sales price/rate: 0

• Income Account: Choose the account of type Other Current Liabilities Only

• Is taxable: Leave this checkbox as unchecked

• Purchasing information: Leave this checkbox as unchecked

Expense Posting

For Expense Posting, integration requires two Chart of Accounts in QuickBooks Online with the following details:

• Name: Petty Expenses and Cash on hand - Petty Cash

• Account Type: For Petty Expenses Account Type must be Expenses and for Cash on hand - Petty Cash Account Type must be Bank

• Is sub-account: Leave this checkbox as unchecked.

Click on the “Save” button to save the settings.

Transaction Integration

On closing of a register, data from Tagrain is synced with QuickBooks Online Company.

You can go to Sales > All Sales in your QuickBooks Online Account to see the posted data from Tagarain.

Sale Transaction

On closing the register, consolidated transactions (i.e., Sales/Refund etc.) per product groups are synchronized to QuickBooks Online.

E.g., let’s perform a Sale transaction at Web Register and Close the register.

Sales Invoice is integrated into QuickBooks Online. See the below screenshot.

Let’s perform one Sale and one Refund transaction at Web Register and then close the register.
